Email Multifactor Authentication Tips

Multifactor Authentication (MFA)

As you probably know, Multifactor Authentication (MFA) is a security protocol to validate your identity when logging in to a website or app, requiring you to enter a code or one-time password (OTP) to complete login. vExchange Analytics requires users to use MFA when logging in. You may choose from a variety of MFA options, including push notification, SMS, and email. Push notifications are more secure than SMS or email. We recommend using one of the mobile apps (e.g. Okta, Google Authenticator) to receive push notifications since that is the most secure option available. You should only use the email MFA option if none of the other options are suitable for your organization.

Issue with MFA by Email

If you choose to use email for MFA, please note that some email systems are slow to deliver your code, which is required for login. By default, codes expire after 30 minutes. If your code does not arrive in that time period OR if you request a new code, the prior code will not work. If you are entering a code that you received via email and receive an “invalid code” error message, it is because you entered an expired code.

Instructions for MFA by Email

  1. Navigate to the vExchange Analytics website and click the Login button.
  2. Enter your Username and Password.
  3. Click the Send button to send the MFA code to your email address. In some instances, Okta will automatically send the code to you.
  4. Be patient and do not request a new code.
  5. Enter the authentication code from the email that you receive. It typically takes less than one minute for the email to arrive. If your email code arrives slowly or not at all, please contact your internal IT Support team and ask them to troubleshoot the delays to your email delivery.  The codes are sent immediately from our system, but we cannot control how quickly they are delivered to you.
