Vertican Travel Policy

Our goal is to travel efficiently and cost-effectively. Unfortunately, airline and hotel pricing varies greatly from city to city and week to week – which occasionally drives us crazy!

Upon your confirmation of a scheduled trip to your office, we will begin to make travel arrangements, including the purchase of airline tickets and hotel and rental car reservations.

  1. Airline reservations will be made directly through the airline. We will book the most economical fares available on nonstop and conveniently scheduled flights. We welcome any knowledge you may have of special fares to your city. We will provide you a quote of fares and, upon your approval, request of you a credit card number for the purchase of all tickets.
  2. Regular coach fares, though often costly, carry no restrictions and can be refunded should the trip need to be changed or canceled. “Special” fares often carry restrictions and cancellation penalties, and many are non-refundable. We can and often do use these. But you, the customer, must understand that if we take advantage of “special” fares – at your request, presumably to save money – any fees and/or penalties resulting from cancellations and/or scheduling changes will be your responsibility.
  3. We will ask that you recommend a hotel that is conveniently located near your office. Every effort will be made to make reservations at the hotel you suggest.
  4. We rent Avis, Budget, Dollar, and Hertz mid-size cars. While other companies may be less expensive, hassles encountered over the years have convinced us to use these companies only.
  5. Vertican Technologies will bill a per diem rate for each employee, for food and miscellaneous expenses.
  6. Vertican Technologies will also bill for associated travel costs, including parking, taxis, airport transfers, and baggage fees.
  7. Vertican Technologies will bill for mileage and toll fees for travel by car to a local office.

Our intent is to travel efficiently for the lowest possible cost, and we will make every effort to work with you toward that end. We ask, however, that you bear in mind that the “cheapest” fares are often so restrictive that they become more burdensome than any savings in cost could reasonably justify.

For any classroom-style training, clients should provide all suitable A.V. equipment.
